Summary/Objective
Ensure efficient oversight and management of expenses to optimize financial resources and support organizational goals. Responsibilities will include processing payments, validating invoices, and conducting account reconciliations. Demonstrate a strong understanding of accounting principles and possess prior experience in a similar role, contributing to streamlined expense control processes.
Essential Functions
· Aids in maintaining general ledgers, ensuring accurate recording of transactions and adherence to regulatory and company standards.
· Conducts account reconciliations to ensure accuracy.
· Collaborates with internal departments to collect, analyze, and interpret relevant financial data.
· Executes month-end close processes per monthly and quarterly schedules.
· Owns all Accounts Payable activities.
· Vendor onboarding
· Organize, maintain, and update vendor records on various platforms.
· Develop and maintain vendor relationships.
· Receive bills and review for accuracy.
· Liaison with vendors to request and reconcile statements, resolve disputes or discrepancies.
· Guarantee all bills are recorded in all platforms with correct data, including coding, descriptions, dates and amounts.
· Guarantee that all bills have appropriate approvals, accurate receiving documentation (packing slips/purchase orders), and confirm all documentation is accurately recorded in all platforms.
· Monitor petty cash expenditures.
· Processes vendor payments via ACH, domestic wires, payment links, vendor portals.
· Assist with employee expense and reimbursement.
· Reconciles payment transactions with the bills to maintain accurate records.
· Prepare weekly payment reports and ensure accuracy prior to submittal.
· Execute month-end close processes and adhere to deadlines.
· Contribute to special projects and offer financial support as required.
· Performs other related duties as required and assigned.
Skills and Attributes
· Ability to meticulously review bills, payments, and financial data to ensure accuracy and completeness.
· Capacity to analyze financial information, identify discrepancies, and resolve issues quickly and effectively.
· Proficiency in managing multiple tasks simultaneously, prioritizing workload, and meeting deadlines.
· Strong verbal and written communication skills to collaborate with internal departments, vendors, and resolve discrepancies.
· Familiarity with accounting software and proficiency in using spreadsheets for data analysis and reporting.
Work Environment
This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
