JOB TITLE:  Bookkeeper/Front Office Coordinator


FLSA STATUS:  Hourly Non Exempt


DEPARTMENT:  Public Sector Finance


REPORTS TO: Director of Finance, Public Sector


SUPERVISORY RESPONSIBILITIES: No


JOB LOCATION:  Houston, TX


TRAVEL:  0-10%


ESSENTIAL DUTIES & RESPONSIBILITIES:



  • Answer phones promptly and professionally, direct calls to appropriate parties.

  • Monitor company voicemail and properly relay messages.

  • Welcome and assist visitors.

  • Responsible for incoming and outgoing mail and packages.

  • Maintains office supply and breakroom inventory and replenishment.

  • Coordinate building maintenance and inspections.

  • Email company correspondence and memos.

  • Maintain shared calendars.

  • Verify and submit vendor invoices for payment.

  • Cash application for customer payments.

  • Aged Accounts Receivable reporting.

  • Crosstrain and assist billing procedures.

  • Work client chargebacks.

  • File, Scan, and Copy documents as needed.

  • Coordinate office events.

  • Performs other duties as assigned.


MINIMUM QUALIFICATIONS (EDUCATION AND EXPERIENCE): 



  • High School Diploma or equivalent or 2+ years of office or clerical experience.

  • Must be highly skilled in the use of Excel spreadsheets.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Strong level of organization with excellent oral and written communication skills



  • Must have excellent work habits, including a willingness to work the hours necessary to get the job done.



  • Demonstrated ability to work calmly in a fast-paced team environment while effectively managing multiple projects.

  • Ability to think critically to bring efficiency to processes.


 


Preferred Qualifications:



  • Associate degree in office administration or related field or 2+ of office and bookkeeping experience in leu of a degree.
