The Business Administrator role is vital within our company, ensuring smooth operations across payroll, invoicing, reporting, human resources, and new location launches. 

This position is responsible for managing biweekly payroll and invoicing, maintaining accurate financial records, handling client and employee inquiries, and ensuring timely collection of payments. Additionally, the Business Administrator supports human resources functions, including onboarding, benefits administration, performance evaluations, and maintaining employee records. The role involves budget management, ordering supplies, and assisting with the logistical needs of opening new locations. 

This ideal candidate is detail-oriented, organized, and collaborative, ensuring operational excellence and adherence to company policies.



Requirements

Payroll, Invoicing, and Reporting

  • Process biweekly payroll for part-time employees and contractors.

  • Handle biweekly client invoicing, payroll inquiries, and expense-related questions.

  • Ensure accurate and timely billing, package payments, and invoice collection, notifying Location Directors of overdue accounts.

  • Manage and categorize expenses, add/remove employees in QuickBooks, and pay bills (e.g., rent, credit cards).

  • Monitor rent changes and maintain up-to-date accounts.

  • Order marketing materials and business cards.

  • Provide QuickBooks reports to department heads as needed.

  • Set and manage office budgets for supplies, snacks, and appreciation initiatives.

  • Handle external reporting.

Human Resources

  • Oversee onboarding and offboarding for employees and contractors.

  • Maintain employee folders, confidential documents, and background checks.

  • Coordinate leadership training and send calendar invites.

  • Approve employee bios for the website and manage Predictive Index software.

  • Track employee PTO balances in QuickBooks.

  • Track employee compensation for raise purposes.

  • Track performance evaluations and ensuring all employees are on a regular evaluation schedule; coordinate and share peer evaluations for 360 90 day and annual performance evaluations.

  • Ensure job descriptions, hiring materials, and interview questions are current.

New Location Launch

  • Support logistical needs for biannual location launches.

  • Maintain health sheets to track revenue and leads.

Executive Assistant Duties

  • Support the Visionary/Founder with email correspondence and calendar management, ensuring time is protected and maximized.

  • Prioritize conflicting needs; handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures.

  • Maintain confidentiality and professionalism.

  • Create presentations, reports, spreadsheets, and agendas.

  • Run errands as needed.

Job Details:

  • Salary Range: $50,000-65,000 annually (depending on experience)

  • Hours are 8:30-4:30pm, primarily at our Katy Fulshear location (5300 Ranch Point Dr, Katy, TX 77494), with occasional weekend and evening hours required

    • *some portions of training may take place at one of our other office locations 

    • *office location can be negotiable as long as this position is based out of one of our 5 office locations within the Houston area
