The Client Development Operations team at Baker Botts is seeking a Database Administrator to be based out of the firm’s Texas or UK office locations. The Client Development Database Administrator will play an important role in the continued success of the firm’s client development databases, to include the firm’s CRM and experience/knowledge management platforms. This person will be responsible for ensuring the integrity of both databases ensures in order to support strategic firm business development projects and goals.

Reporting to the Associate Director of Client Development Technology and Operations, this role will work collaboratively within the Client Development team and with many departments across the firm, including Knowledge Services, IT, Information Security, Human Resources, Recruiting, and Finance/Accounting to ensure the systems and processes are exceeding the firm’s needs.

Primary Duties & Responsibilities

  • Serve as a key department subject matter expert on Dealcloud and Foundation, completing all trainings and staying current with system releases, testing all new functionality and advising on impact for system stakeholders, and communicating same with CD team. Stay abreast of legal and professional services industry best practices, as well as data privacy best practices.
  • Use system-owned dashboards as well as external vendor and contractor resources to manage data entry, review, and maintenance in Dealcloud and Foundation, performing routine audits as well as identifying and leading targeted data cleanup efforts.
  • Prepare experience data and matter/client data for import into the databases, including identifying data standardization and quality issues.
  • Manage user support tickets for both systems in a timely manner, escalating or redirecting when appropriate.
  • Develop and recommend fields, processes, and workflows within the platforms, based on best practices and stakeholder feedback.
  • Together with MarTech and CI leadership, partner with stakeholders to understand their analytical needs and develop visualization solutions that effectively communicate key metrics, trends, and patterns.
  • Produce and distribute actionable dashboards, reports, and exports that both support in business development goals and also help in the improvement of our CRM and experience management data
  • Assist with other technology tools and operations projects, as needed, relating to other areas with connections to CRM and experience management
  • Undertake routine housekeeping tasks of these systems and support in maintain related materials and resources as and when required

Requirements

  • Bachelor's degree in marketing, business administration, communications, computer science or related field; or equivalent combination of education and experience.
  • 2-5 years of experience in marketing, business development, technology, and/or project management. Experience in a professional services firm preferred.
  • Experience with CRM and experience database management systems required, with preference for Foundation and Dealcloud-specific experience.
  • Exceptional interpersonal and customer service skills
  • Experience with both self-motivating and working independently, across time zones, as well as with operating with cross-functional teams, in a highly collaborative and professional environment.
  • Must be able to communicate clearly and concisely, and in a timely manner, and know when to escalate matters ahead of time.
  • Must have strong attention to detail and have a good understanding of best practice data principles, data, manipulation, and privacy/security.

Extent of Public Contact (Within and outside the Firm)

  • Extensive contact with lawyers and staff in all locations at all levels.
  • High degree of contact with the Pricing, Financial Services and Knowledge Services teams.
  • Moderate degree of contact with the Diversity and Inclusion and Professional Development teams.
  • Moderate degree of contact with clients.

Physical Demands

  • Must be able to work at a computer for extensive periods of time.
  • Must be able to routinely lift and carry event materials and other items up to 10 pounds.
  • Must be able to function in a standard office environment.

Working Condition and Environment

  • Work is normally performed in a typical office environment, which includes the ability to visit face-to-face and virtually with firm lawyers, staff and external contacts. 
  • Position is full-time and requires a five-day work week and standard hours as outlined in the Firm policy manual.
  • Must be available to work additional hours, including weekend hours, when necessary to meet established deadlines or stay current with occasional peaks in workload. Must be willing to change regular work schedule to meet the needs of the firm.
  • This role may be hybrid and will require a minimum of three days per week (or at least 60%) present in the office, and up to two days per week (40%) may be performed remotely.
