Our team has a very busy schedule and a heavy workload and interacts frequently with various stakeholders in the course of supporting other departments and the vision of the firm. In order for the team to be focused and successful where most needed, it needs someone who can offer valuable General Administrative/Dispatch assistance (including standard responses to correspondence, data entry, filing, archiving, typing, proofreading, formatting, copying, scanning and routing documents, etc.).

HVJ needs a committed Administrative Assistant and Dispatcher to take ownership of ensuring standards are met and coordinating or executing various clerical and other tasks or assignments related to general administration as directed, and consistent with the firm’s vision and initiatives.

Ongoing Work:
- Experience with Construction Material Testing lab dispatch functions.
- Dispatch techs for Testing /Inspections services on project and per schedule receive from Client representative assigned to the project.
- General Administrative task including data entry, filing, archiving, typing, proof reading, formatting, copying, project close outs, sending surveys, ordering insurance certificates, scanning and routing documents.
- Assist in preparation and flow of all construction materials documentation, record keeping, and filing.
- Assist in Preparing project setups for new projects and monthly invoicing.
- Must have good communication skills for dealing with clients and technicians.
- Document work performed by time spent, as appropriate.
- Assist other personnel at the direction of manager.
- Perform duties in a safe, cheerful, efficient, and workmanlike manner.
- Other administration functions as directed by Manager.
Key Criteria/Requirements:
- High school diploma or equivalent.
- Strong skill/experience in Microsoft Outlook, Word 2013, and Excel 2013
- Database knowledge, Deltek Vision, Site Manager ,SpectraQest, or TxDOT i2MS a plus
