Job Description

POSITION OVERVIEW

This position will report to and provide general administrative support to the Construction Team and Director of Interiors Construction. Your initial responsibilities will focus on assisting our construction team with various project related tasks and assignments.

ESSENTIAL FUNCTIONS

  • Lead the process of tracking and organizing project related information for the department’s construction management projects.
  • Acts as point of contact and liaison with our internal transaction team, outside customers, vendors, and general contractors.
  • Coordinate the department’s needs and schedules with customers, vendors, and general contractors.
  • Composes and prepares routine correspondence for the department.
  • Organizes and maintains filing system, both hard and electronic files, and manages the transfer of them to property management, customers, and/or consultants.

RESPONSIBILITIES

  • Lead the organization and process tracking for the department and its projects.
  • Update and maintains various forms, (CM agreements, job status report, misc construction documents.) 
  • Prepares RFP’s for upcoming construction bids, (including organizing and scheduling pre-bid meetings.)
  • Prepares AIA contracts with all necessary attachments (drawings, insurance, work letter, etc.)
  • Manage the closeout process for all team projects
  • Manage ADA inspections and requests for all team projects
  • Ensuring that all construction policies and procedures are followed for the various owners and/or landlords.
  • Analyzing the various solutions available and then choosing the best possible solution in order to solve a problem.
  • Draft correspondence to existing and prospective vendors.
  • Prepare, bill, and maintain Construction Management Fees.
  • Oversee various construction projects and project functions as required.
  • Provides general administrative duties as required.
