Buckeye Partners is currently seeking a Legal Assistant to join our team.

 

Role Summary:

The Legal Assistant role is responsible for providing legal support to VP, General Counsel/Secretary and Associate General Counsel.

 

Responsibilities & Essential Functions include:

  • Handling administrative tasks as needed, including, but not limited to scheduling meetings, creating, compiling, and uploading files, reviewing and routing correspondence, obtaining signatures and directing finalized documents to the appropriate parties, and running reports and queries
  • Matters relating to document retention; administering all aspects of legal invoicing, including receiving invoices
  • Identifying relevant account coding and responsible attorney and forwarding for approval, uploading invoices to accounts payable system
  • Approving, maintaining legal expense spreadsheet, retaining invoices, creating new vendors.
  • Corporate governance maintenance and record responsibilities, including but not limited to, assisting various entity secretaries, including drafting minutes, resolutions, and reports

  • Obtaining signatures for documents, filing records; and managing company’s relationship with its corporate service vendor to ensure proper business administration and compliance of company’s entities.

  • Supporting litigation counsel with litigation matters, including drafting and administering legal holds, tracking and filing responses, and assisting with discovery.

     

Position Requirements:

  •  Bachelor’s Degree and/or technical degree in a related discipline required.
  • 5+ years of paralegal experience required.
  • Experience in a transactional legal environment highly desired. Must be (or must have the ability to become) a Pennsylvania Notary Public. 
  • Must be proficient using Microsoft Word (able to format large legal documents, including creating and utilizing styles, auto paragraph numbering, generating tables of contents, using headers and footers, preparing blacklines), SharePoint, Outlook, PowerPoint, Excel, Workshare Compare, and Adobe Acrobat.

  • In order to succeed in this position, one must have excellent analytical and legal drafting skills, be capable of handling numerous assignments simultaneously, and be able to establish excellent working relationships with employees throughout the Company.
  • One must also have the ability to appropriately and discretely handle confidential information.
  • To be successful in this position, incumbents must possess excellent computer, organizational, and memory skills. The individual must be able to multi-task, prioritize, and manage varying workloads.
  • Strong writing skills, including excellent grammar, editing, and proofreading capabilities, and exceptional attention to detail are essential.

 

Essential Functions:

  • This position requires the ability to safely and successfully perform essential job functions consistent with ADA, FMLA and other federal, state and local standards, including meeting qualitative and or/quantitative productivity standards.
  • This role requires the ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • This position requires compliance with all personnel policies.

 

Safety and Physical Requirements:

  • The person in this position needs to occasionally move inside the office to access file cabinets, office equipment, etc.
  • This role continuously operates a computer and other office productivity equipment (i.e. a calculator, copy machine and computer printer).
  • The employee is frequently required to effectively communicate with others.
