What We’re Looking For


Our hardworking administrative team members provide the behind-the-scenes structure and support that allows us to do what we do best: build beautiful outdoor spaces. This group of talented solution-ists identifies and overcomes issues before they impact our field team and clients. Today we’re in search of an individual who can bring their focused, self-driven energy to a multitude of administrative and accounting tasks that can make our team more complete.  This position will be the Office Administrator.


 


Are you a fit?


·        High School Diploma Required


·        Bi-lingual in Spanish and English highly preferred 


·        5+ years in a construction office administrative role and ​​​​​basic bookkeeping/accounting experience​​​


·        Experienced use of QuickBooks Accounting Software


·        Moderate to Accelerated use of Microsoft Office, especially Excel & Outlook


·        Experience working in a construction environment with a variety of personalities and fast-paced, changing demands on time and focus.


Essential Duties of the Job


·        Answer telephones, direct calls, and take messages & operate office equipment, such as a photocopier, scanner, and personal computers


·        Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and  address complaints.


·        Maintain and update filing, inventory, mailing, and database systems, both manually & using a computer.


·        Compile, copy, sort, and file records of office activities, business transactions, and other activities.


·        Review files, records, and other documents to obtain information to respond to requests.


·        Complete all associated responsibilities of Accounts Payable while providing periodic assistance with Accounts Receivable and Collections as needed.


·        Do basic bookkeeping, and complete banking transactions.


·        Complete Bank Reconciliations & Positive Pay in basic bookkeeping software.


·        Daily log and reconcile American Express charges and post payments.


·        Assist Project Managers as needed with general administrative work related to open projects, including but not limited to interfacing with Project Managers to ensure proper documentation at all stages of a project is processed and completed, vendor set up paperwork is accurate and consistent, etc.
