Description

Sales & Marketing Coordinator Position Responsibilities


Sales Strategy and Opportunity Management

  • Help the Company maintain a consistent backlog through sales and pipeline management.
  • Work with Sales to maintain customer engagement, bid lists, opportunity pipelines, and proposal development schedules.
  • Participate in key opportunity and account planning meetings.
  • Support the development of relationships with strategic teaming partners and subconsultants, and lead prequalification efforts with key contractors and owners.
  • Work with Sales to collect regular forecasts of sales data and coordinate with Operations for revenue and manpower forecasting.
  • Assist Sales teams to develop and deploy annual business plans to include market analysis, DAC SWOT, competitive landscape, DAC differentiators, strategic customers and markets, winning strategies, marketing plan and budget, and product needs.
  • Work with Administration to manage Company processes for sales booking, project information filing, sales-to-operations turnovers, and electronic job folder structure.
  • Coordinate efforts between Sales, Engineering, Operations, and Administration for process deployment, process and procedure enforcement, and development of a scalable/repeatable model for Sales.
  • Develop, deploy, and enforce standards for Customer Relationship Management (CRM), opportunity pipeline management, forecasting, estimating, and proposal consistency
  • Conduct market research as needed.

Proposal Coordination and Development

  • Serve as a Proposal Manager to effectively lead pursuit teams collaborating with Sales and Operations staff on key or complex pursuits, RFPs, RFQs, SOQs, proposals, and presentations.
  • Work with leadership and technical SMEs to craft appropriate sales strategies and project approaches.
  • Manage the development and production of proposal responses (RFPs, RFQs, SOQs, etc.) in a deadline-intensive, fast-paced environment including the development and collection of materials (such as relevant project descriptions, team resumes, and technical details), content creation/copywriting, graphics, and final document review, printing, assembly, and submission.
  • Develop visually attractive submittals that graphically communicate key points and maintain proposal templates for all Company disciplines and project types.
  • Manage proposal schedule and ensure compliant content.
  • Ensure printing, final delivery, and archiving of all client submittals and proposal responses.
  • Provide expert quality control checks for Sales and Operations, providing style and grammar edits and verifying data, ensuring compliance with Company brand standards.
  • Collaborate with Sales and Operations staff on client presentation/interview strategy and facilitate interview team rehearsals.
  • Ensure all proposal content and marketing collateral align with brand standards.

Brand Management

  • Create, manage, and continuously improve brand standards for the Company. Internally publish standards, communicate to applicable staff, and educate colleagues on their use.
  • Lead the systematically refinement of all internal and external company documentation to meet brand standards.
  • Create and maintain collateral, assets, and presentations to promote the competencies of the Company in coordination with Sales and Marketing Strategy.
  • Help to create project descriptions, resumes, and case studies by interviewing project personnel and reviewing existing documentation; perform other writing and editing assignments, as needed.
  • Coordinate design and purchases of all Company branded uniforms, conference materials, business cards, fleet graphics, and promotional items.
  • Lead development and deployment of creative campaigns.
  • Manage all Company photography, including completed projects, technology, employees, etc.

Communications and Public Relations

  • Build strong connections with all leadership team members to help coordinate marketing and business development needs.
  • Manage editorial calendar of social media promotions, email campaigns, events, and opportunities for each office.
  • Involved in and support Sales in relevant professional societies at the regional or national level, including attending conferences/seminars/events when possible. Coordinate the logistics for professional conferences, including budget, exhibit booth materials, promotional items, etc.
  • Manage Company community events, non-profit and charity efforts, customer events, and employee gatherings.
  • Write press releases, brochure content, website copy, emails, and other content as needed.
  • Update website, update social media, and manage SEO efforts.
  • Facilitate voice of the customer surveys in coordination with Client Services and assist in communicating results to leadership.
  • Respond to media inquiries and manage media relationships.

Requirements

Sales & Marketing Coordinator Qualifications

  • Bachelor’s Degree in Marketing, Business, or related field required
  • Master’s Degree in a related discipline or any similar (experience may be substituted for education). Professional certification or designation in a related discipline is preferred
  • Minimum 3 years of prior related professional marketing experience within the architectural, engineering, or construction industry required
  • 5+ years of prior related experience marketing professional services within the architectural, engineering, or construction industry preferred
  • Required skills and ability to operate a Windows-based computer and be proficient with the latest Microsoft Office Suite, Adobe InDesign, Illustrator and Photoshop, and other CRM platforms.
  • Impeccable attention to detail with excellent analytical, multitasking, and judgment capabilities.
  • The ability to learn, utilize, and streamline procedures for workflow automation and efficiency.
  • Ability to self-manage and prioritize multiple tasks and deliverables, working in a deadline-driven environment.
  • Excellent verbal and written communication skills, including copywriting, editing, and proofreading experience. Must read and write English and have the ability to edit grammar at college level. Must be able to understand and communicate effectively, both orally and in writing.
  • Excellent organizational, file management, and time management skills.
  • Quick technical comprehension and motivation focused on client outcomes.
