The Senior Lease Administrator will support a portfolio of leased retail locations within North America. The candidate will support current policies, procedures, and controls pertaining to the accrual and payment of rent, percentage rent, common area maintenance, and other property related expenses. The candidate will ensure that all lease and property documents are accurately abstracted and uploaded into the lease database. The candidate will review common area maintenance reconciliations to ensure compliance with lease obligations and make payment adjustments accordingly, if necessary. The candidate will combine real estate industry experience and excellent problem-solving skills to interact with diverse stakeholder groups, both internal and external. This position reports to the Corporate Controller with significant interaction with the Real Estate team.
This position serves as the point-of-contact to landlords, leadership, and executives and acts as liaison with all other departments for leasing considerations.
This position requires an individual keenly familiar with data analysis, trend identification, and retail lease administration.
What you’ll do:
- Lease Documentation: Organize and maintain physical documents for all leases and related correspondence. Ensure 100% data integrity such that lease documents are interpreted and abstracted into the lease administration system.
- Rent Management: Coordinate lease payments and calculate rent accruals monthly.
- Lease Compliance: Perform accurate and detailed reconciliations of rent accounts to ensure compliance with lease terms. Support the Real Estate Director in tracking transaction status, renewals, and lease amendments.
- Tenant Allowances: Manage collection and reconciliation of tenant allowances due from landlords.
- Financial Reporting: Maintain ASC 842 schedules within the lease administration system. Coordinate with FP&A team related to rent accruals for financial statements.
- Lease Management: Respond to lease correspondence and notices, address and resolve landlord payment issues, and monitor leases/amendments for rent start-up, operating expense changes, and lease terminations.
- Other Responsibilities: Resolve day-to-day issues and questions from landlords, providers, and stakeholders. Contribute to the ongoing effort to develop efficient lease and accounting procedures. Assist with other Real Estate projects as needed.
What you bring:
- Bachelor’s degree.
- A minimum of 5 years of corporate or commercial asset management experience with a retailer, landlord, or commercial real estate company.
- Ability to interpret lease language and familiarity with retail leases.
- Experience with lease abstracting and account reconciliations.
- Experience with lease administration software (Lucernex, highly preferred).
- Proven track record of process improvement.

- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
