POSITION SUMMARY:Β  The Traveling Onsite Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

JOB DUTIES:

  • Provides high-level administrative support to an assigned executive or director-level employee.
  • Responds to and resolves administrative inquiries and questions.
  • Maintains filing systems as assigned.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Prepares agendas and schedules for meetings.
  • Performs data entry and filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or departmental files.
  • Performs other general clerical and administrative duties as requested, which may include recordkeeping, maintaining office supplies, and coordinating equipment maintenance, and handling packages and correspondence.
  • Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence.
  • All other duties that assigned.
MINIMUM REQUIREMENTS

  • Minimum of 2 years of experience of administrative support in the construction industry.
  • Must be willing to travel for up to, not limited to, 6 weeks at a time.
  • Individual must possess a high-level of confidentiality and professionalism.
  • Must be knowledgeable of office support functions.
  • Must possess strong clerical and administrative skills.
  • Individual must be efficient with Microsoft Office: Word, Excel, Access, PowerPoint
  • Must have the ability to interpret, apply and explain complex information such as regulations, policies, or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
  • Ability to lift, bend, stoop, and reach.
PHYSICAL DEMANDS: Must be able to lift, bend, stoop and reach.Β  Must have the ability to sit for extended periods of time, and use a computer monitor and keyboard.
