Job Overview






The Office Administrator is a self-starter who is highly motivated and detail oriented. The Office Administrator will oversee the daily operations of the office, ensuring an organized, efficient, and welcoming environment including managing administrative tasks, acting as site timekeeper, maintaining office supplies, equipment and furniture and coordinating schedules. The Office Administrator serves as the main point of contact for visitors and inquiries, providing professional assistance to enhance overall productivity and workflow.

  • Manage daily operations, in support of the General Manager, and oversee all daily office functions, including opening and closing the front office, scheduling, and workflow management.
  • Responsible for overseeing calendar and scheduling needs. Organize and maintain company calendars, schedule meetings, appointments, and arrange any necessary travel for the local team and or visitors.
  • Act as a company liaison and interact with warehouse, production, phone, vendors, and building personnel as needed.
  • This position will track supplies and inventory, which includes maintaining office supply levels, reorder as necessary, and manage vendor relationships.
  • Provide training and support as needed, understand job responsibilities, office policies, and standards. Must coordinate with Functional Unit HR Representatives for direction and guidance.
  • Support overall tracking of expense management. Monitor and manage the office budget, including supply costs, vendor payments, and other operational expenses.
  • Responsible for expense management of the Houston facility. Track and manage the office budget, including supply costs, vendor payments, and other operational expenses in ERP. Provide timely communication and updates to the General Manager.
  • In collaboration with the Functional Unit HR Team, this position will support the onboarding process and experience for new employees.
  • Assist with purchasing and order management such as managing invoices and reports, track supply orders, coordinate shipping arrangements, and support various inquires.
  • Oversee site timekeeping procedures. Ensure that all entries for each employee have been submitted, any manual entries have supporting documentation for edit on timekeeping platform, and ensuring all company timekeeping guidelines, as well as State and Federal regulations are followed, under the guidance of the Functional Unit HR Team.

This position has no direct supervisory responsibilities.

 

Work Environment

This job operates in both a professional office and an industrial manufacturing environment. This role routinely uses standard office equipment such as computers, phones, scanners, filing cabinets, etc.

 

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. Specific vision abilities required by this job include close vision and ability to adjust focus. The employee must be able to sit, stand, or work at the computer for prolonged periods. PPE must be utilized as specified to enter production areas.

 

Education and Experience

  • High school diploma or equivalent (GED)
  • Associates or Bachelors degree preferred
  • 2-3 years relevant office/administrative experience preferred
  • Computer proficiency with Microsoft Office applications such as Outlook, Word, PowerPoint, and Excel.
  • Ability to work independently and problem solve.
  • High level of organization, follow up, and attention to detail.
  • Proficient communication skills, verbally and electronically
  • Proficiency with PowerBI highly a plus.
  • Prior work in a manufacturing or industrial services company preferred.
