Position Summary
The Practice Administrator will have primary responsibility for daily operation of Nexus Physician Services (NPS) . Responsibilities include but not limited to: daily medical and clinic office operations, patient and physician scheduling, billing and collecting, purchasing and materials management, implementation of personnel and billing policies, staffing, and regulatory compliance, maximizing financial return of NPS.
Job Specific Responsibilities
• Ensure compliance and oversight of HIPAA, CLIA, OSHA and other governing bodies’
• Respond to all high level and/or confidential business affairs
• Identify staffing needs at facility
• Recruiting Point Person with HR, Recruiters and CEO’s
• Ensure Physician staffing at facility, holiday schedule, sick leave, and so forth.
• Billing Collections
• Set-up interviews with HR / CEO / Physician
• Set Day site visits at facilities
• Facilitate maintenance of licensing and medical society memberships for physicians
• Serve as liaison between NPS and multiple support staff (HR, Finance, Payroll, Operations, IT)
• Seek ways to save for the practice
• Participate in monthly meetings with physicians to review financial performance and KPI, i.e., Net Revenue, Operating Expenses, RVU’s, Volume Metrics, etc.
• Maintain accurate monthly meeting minutes
• Verify tasks assigned to / assumed by practice providers. Offer to assist with completion where applicable. Assist with completion monitoring and accountability
• Monitor scheduling and provider schedules
• Attend daily, weekly and monthly meetings to discuss practice performance
• Coordinate accounts payable (AP) and payment of outside invoices
• Work with Human Resources for employee orientations, benefits enrollment, and payroll
• Review monthly financial variance reports
• HIPAA compliance training
• Monitor billing complaints/resolutions
• Meet routine deadlines and work schedules as well as timely and accurate completion of special projects and any other duties as assigned.
• Understand, support, enforce, and comply with company policies, procedures, and Standards of Business Ethics and Conduct.
• Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties
• Maximize collections for each provider.
• Maintain NPS at breakeven or greater.
Position Qualifications
EDUCATION
• 4 year Degree preferred
EXPERIENCE
• 4-5 years healthcare, organizational management or related experience
• Knowledge of basic medical practices, medical terminology, physician scheduling, patient relations, and patient billing
• Excellent interpersonal, communication, facilitation, and professional diplomacy skills
• Strong attention to detail with the ability to manage multiple priorities while meeting deadlines.
• Ability to foster working relationships with physicians, management and associated businesses
• Ability to respond to common inquiries or complaints from client, hospital or patients
• Ability to define problems, collect data, establish facts, and draw valid conclusions
• Possess strong communication skills to clearly and effectively communicate with physicians, management and hospital staff
• Proficiency with computers, software, and Electronic Medical Records (EMR) systems; Meditech expertise a plus
• Highly organized with developed time management skills
