Reports to: Sr. Director, Human Resources 

Supervisory responsibilities: Yes, after 90 days of employment  

Location: 2201W Holcombe Blvd., Suite 205, Houston, TX 77030 

Schedule: Monday to Friday, 8:00AM to 5:00 PM with the ability to work from home up to two days per week after 90 days  

PTO: Four weeks of paid time off per year prorated based on hire date in the first year of employment.  

 

Position Summary/objective: 

This position is responsible for fast and accurate sourcing, screening, selection and hiring of high caliber candidates for the organization by using professional expertise to ensure that open vacancies are managed effectively, that high quality candidates are readily available and that Immatics maintains a high-quality candidate experience with a consistent corporate image. 

Essential Functions:  

  • Responsible for execution and oversight of the Recruitment team to execute the organization’s recruitment process from screening, interviewing, selection, offer management, background and reference checking.  

  • Meets mutually agreed upon quotas for the number of daily phone screening and interview setting goals. Documents daily activity in the Recruiter Tracking spreadsheet 

  • Responsible for daily HR Hiring Plan updates and alignment with the HR Generalist so that both the Hiring Plan and HR Database reflect accurate and most up to date information by the end of each day.  

  • Makes sure HR Hiring Plan, HR Database, and Workdays are aligned and updated daily. 

  • Responsible for weekly accurate Weatherford updates reporting (by each Monday afternoon).  

  • Responsible for HR Dashboard update by each HR meeting.  

  • Efficiently uses an Applicant Tracking System Workday Recruiting platform to allow for fluidity and flexibility for both recruiting and onboarding needs.  

  • Enters positions into Workday accurately, follows up on candidates in the system daily and moves candidates to the appropriate status as soon as the change occurs. 

  • Establishes and maintains relationships with external recruiters, professional associations and other organizations that can ensure a continuous pipeline of employment candidates. 

  • Makes sure that all resumes sent over by the recruiting agencies are sent directly in the system and not to personal email.  

  • Reads, follows, and updates the Recruiting Manual Follows. Follows established processes that govern candidate screening, interview scheduling processes, follow up and reference/background checks for all potential candidates. 

  • Prepares and provides recruiting summary reports for utilization within the HR department.  

  • Creates and maintains records of job descriptions consistent with grade levels and pay ranges across all platforms.   

  • Maintains records of vacancies, newly approved positions, total headcount and internal transfers. 

  • Creates and maintains Immatics Role Matrices 

  • Projects as assigned – Interview Guidelines training for hiring managers on an annual basis.  

  • Any other projects as assigned and mutually agreed upon. 
     

 

 

 

Management functions if Associate HR Manager: 

  • Assures accurate and fast performance of the Recruiting team to include but not limited to:  

  • HR Hiring Plan, HR Database, and Workdays are aligned and updated daily. 

  • Weekly accurate Weatherford updates reporting (by each Monday afternoon).  

  • HR Dashboard update by each HR meeting.  

  • Posting positions in Workday in a timely manner (no later than 24 hrs upon completion of all required documentation). 

  • Making sure recruiting platform integrations are working properly (Indeed, LinkedIn, and others). 

  • Recruiting numbers are reported daily in the Recruiting tracker including own numbers. 

  • Candidate and hiring manager responses are done daily in the system. 

  • Job description, Intake meetings and C-job questionaries are completed before/at the recruiting process start. 

  • Filled positions are timely taken off sites and Workday the same day these are filled 

  • Workday reporting is accurate and if not, makes sure that corrections are taking place immediately 

  • Recruiting Manual is up to date, complete and followed. 

  • Timesheet procedures are followed. 

  • There are no hiring managers or headhunters’ complaints about the timeliness and accuracy of the Recruiting function. 

Secondary functions: 

  • Extract data from ATS and other platforms to maintain records of hire, turnover, time to hire, cost of hire, etc. 

  • Participates in department and company staff meetings and attends other meetings and seminars as needed to accomplish the organization's and department's goals.  

 

 

 

Competencies 

  • This position is both hands on and responsible for management of others in 9 days from the start date. 

  • Excellent organization, prioritization, follow-up skills and ability to provide feedback to team members both positive and constructive 

  • Must have strong attention to detail or ability to double check own work for accuracy.  

  •  Must be able to take ownership and initiative of entire recruitment and hiring process.  

  •  Must have the ability to work independently with little to no supervision. 

  •  Must have strong written and verbal communication skills. 

  • Ability to grasp new systems and technologies quickly and effectively.  

  • Ability to switch gears and change processes and procedures when required by senior HR members. 

  • Must be able to supervise the Recruiter and manage the team performance once that function is allocated – in 90 days. 

  • Must be open minded and flexible to changes especially those that took place in the recent years at Immatics 

 

Work environment: 

This position works in a typical office environment with moderate noise levels and uses phone, computer, office equipment and supplies on a regular basis. Other duties performed while outside of office building could involve exposure to manufacturing operations, along with outdoor conditions and temperatures.

Hand-eye coordination necessary to operate computers and various pieces of office equipment. Specific vision abilities required by this job include close vision and the ability to adjust focus. 

 

Travel required: 

Little to no travel aside from local travel to job fairs and HR events. Rare overseas may be (once per few years to the headquarters site in Germany).  

Required education and experience 

  • At least four to six years of previous recruiting experience. 

  • Bachelor’s degree in business administration, psychology or a related field. 

  • Ability to work in a fast-paced environment. 

  • Strong organizational skills, including follow-up. 

  • Attention to detail and ability to follow written instructions.  

Preferred education and experience 

  • Bachelor’s degree in business administration, psychology or a related field. 

  • Previous high volume recruiting experience, preferably from Staffing Agency field.  

  • Master’s degree preferred. 

  • At least one year of supervisory experience would be a plus.
